Job summary
The Alma Mater Society (AMS) is the oldest student association in Canada and has been a central student organization at Queen's since its founding in 1858. Today, the AMS acts as a service, advocacy, and governing body on behalf of all students enrolled in AMS-affiliated programs at Queen's University. The AMS is a not-for-profit entity created by the Society to ensure its continuing financial viability by overseeing the management of its services and associated financial affairs. It is bound by the By-laws and corporate philosophy of our Mission and Operating statements as set out in the AMS Constitution. In addition to providing wage-based service staff positions for students wanting employment, the AMS seeks to support the Society's broader objectives through the provisioning of a high quality, relevant range of student funded services, that provide a wide range of employment opportunities and meaningful out-of-classroom learning and skill acquisition experiences for students. Job Summary Common Ground is a student run coffee shop that offers a variety of hot and cold drinks, bagels and cream cheese, delicious sandwiches and fresh baked goods. Common Ground prides itself on using fair-trade, organic coffee and a variety of local products, offered at a low price, made for a student budget. Located in the Queen's Center, Common Ground is at the heart of the Queen's student experience and it offers a welcoming environment for all members of the Queen's and Kingston communities. Competencies Accountability Attention to Detail Communication Cultural Sensitivity Problem Solving Conflict Management Time Management Client/Customer Focus Job Duties 30 hours/week Oversee events and set up the lounge and sound equipment for events as necessary Manage and create content for Common Ground Coffeehouse social media accounts and website Oversee catering and all emails, planning, and making of the orders as necessary Create and maintain a marketing calendar to ensure consistent advertising throughout the year Have a thorough knowledge of AMS Visual Identity Standards, and ensure all advertisements meet these standards Create promotional materials and graphics for online and physical marketing including rave cards, brochures, posters, and other signage Exhibit a working knowledge of all of the software used in the store regularly, including Adobe Acrobat, Illustrator, Photoshop, Lightroom, Canva, Excel, and Word Update and maintain Common Ground Coffeehouse mobile ordering app Assist the Head Manager in the development of a strategic plan, budget, mid-year review, and any relevant capital expenditure proposals Work roughly 2-3 MOD shift’s a week (more during September/October) Coordinate activities with the Senior Manager by scheduling work assignments, setting priorities, and delegating work accordingly Participate as an active member on hiring panels to keep the service adequately staffed Ensure that all employees comply with company policies, procedures, and ethical standards Monitor employee performance to mitigate disciplinary action in accordance with established procedures and notify Head Manager of any issues that arise Ensure that employees adhere to all health and safety regulations Attend and fully participate in all in person and virtual meetings Maintain consistent communication with all relevant stakeholders, responding to e-mails in a timely manner Complete a thorough transition process with the incoming manager that includes one on one meetings and a transition manual Exhibit a working knowledge of service staff portfolios Handle maintenance or facilities related issues that arise at the service and contact relevant sources, when necessary, in order to fix issues in a timely manner Ensure all customer complaints are addressed and handled professionally, leaving the customer with a positive resolution Oversee the day-to-day operations, in collaboration with the Head Manager Assist with new employee training by positively reinforcing successful performance and giving respectful and encouraging coaching as needed Accurately monitor, maintain and report inventories, the flow of products, and weekly orders Maintain a calm demeanour during periods of high volume or unusual events to keep the store operating to our level of standards, and to set a positive example for your team Maintain positive working relationships with relevant suppliers related to all portfolios Oversee staff to ensure work is being performed according to established standards Complete other duties as assigned Oversee any sustainability initiatives as decided by the Head Manager Ensure the upkeep of Common Ground sustainability, including but not limited to, Fair Trade, Compostable Packaging, and Food Waste Job Requirements Excellent understanding and familiarity with brand-building and brand management Ability to build and sustain relationships with key business partners and other external stakeholders Highly effective project management, prioritization, multi-tasking, and time management skills to meet deadlines Ability to supervise and motivate a team to achieve and exceed their goals Work Conditions Interaction with employees, management, and the public at large Operation of desktop computer and peripherals The AMS is an equal opportunity employer and does not discriminate against any employee or applicant for employment because of age, race, religion, colour, disability, sex, sexual orientation, or national origin.
