We are seeking an Assistant Racquets Administrator who is passionate about hospitality and thrives in a dynamic, high-performance environment. Under the supervision and direction of the Head Racquets Professional, the Assistant Racquets Administrator will perform their duties to help ensure the overall operation and management of the Racquets Department runs efficiently and productively to exceed member expectations. The incumbent is expected to provide support to the Head Racquets Professional and monitor the service of the general tennis facilities. Schedule and Availability Regular availability on Saturdays, and Sundays is required. The successful candidate must also be flexible and available to work varied shifts based on operational needs. What You’ll Be Doing: Perform regular duties while stationed at the tennis office while also ensuring all process and operations is running smoothly Complete daily office & defibrillator safety inspection Provide assistance to member complaints and questions when required in a courteous and professional manner Assists with tennis and squash billings for the tennis department including lessons for tennis pros and squash pro, programs and events, tennis prizes, etc. Work with our Head Racquets Professional to ensure all staff are equipped with the knowledge and equipment to perform their job properly and efficiently Coordinate regular communications/meetings with tennis staff in coordination with the Head Professional to develop plans to improve the quality of service in the Racquets Department through innovative strategies Assist with material for tennis section for Sundials Ensure that all service staff are informed about upcoming events or information members may request to ensure all staff is helpful to members Maintain good communication between members and the Racquets Department by using various communication mediums including the Sundial, bulletin board, website, etc. Assist in maintaining good communication between Tennis Court staff & office staff Assist with organizing the ladies’ and men’s team matches and practice Handles tennis & squash court reservations for member’s games and keep the online booking system updated to reserve courts for tennis events, programs maintenance, etc. in advance Ensure the office environment is well presented, and office supply inventory levels are appropriate. Assists members in finding cooperative partners for playing. Perform any additional task as specified by the Head Racquets Professional Court Maintenance Brush and line courts as required to keep courts in the highest standards for membership play. Communications Promote Racquets Department programs, teams, events, and achievements through various communication channels and social media platforms. Facebook Pictures update Monday/Tuesday night ladders. Group & individual pictures & videos. Pictures & videos children’s programs & groups Interview team captains of teams, children, Racquets committee & tennis pros. Post upcoming events Posts on Instagram & Twitter Website Update weekly with new events Singles Ladder Call participants to complete matches Update results on notice board Notice Board Update with pictures of events weekly What We’re Looking For: Completion of High School Education (Grade 12) is required Post-Secondary education is a related field is an asset Private club experience preferred Ability to comprehend departmental accounting and budgetary processes, prepare, analyze and summarize event order Strong administrative and organizational skills Excellent interpersonal skills Computer skills: Highly proficient in Microsoft Office (Word, Excel and Outlook) and the use of the internet Minimum typing speed: 30-35 WPM Able to work shifts - days, evenings, weekends, and holidays Must be able to work under pressure and under strict time constraints Punctual and reliable Well groomed, mannerly, co-operative and outwardly friendly (team oriented).
