The Opportunity Integrity Project Consulting is seeking a part-time Administrative & Accounting Assistant to support the day-to-day financial administration of the company and assist with project cost-control activities. Reporting to the Business Manager, the successful candidate will be responsible for maintaining organized and accurate financial records, preparing invoices, tracking accounts receivable, supporting monthly financial reporting, and coordinating bookkeeping activities. The position will also work closely with the Project Coordinator and Project Managers to assist with project budget tracking, invoice processing, cost reporting, and other project-controls activities. This role is well suited to someone who is organized, detail-oriented, comfortable working with financial information, and interested in supporting both company operations and commercial construction projects. Position Details Position: Administrative & Accounting Assistant Location: Vancouver, British Columbia Employment Type: Part-time Salary Range: $30 to $34 per hour, depending on experience and qualifications Key Responsibilities Company Accounting and Bookkeeping Support Maintain accurate and organized company bookkeeping records. Enter and categorize company financial transactions. Prepare and issue client invoices in accordance with approved billing information. Maintain invoice records and supporting documentation. Track accounts receivable and prepare regular summaries of outstanding invoices. Support the preparation of monthly profit and loss reports. Assist with reviewing monthly financial results and identifying missing, incorrect, or unusual entries. Coordinate and oversee monthly bank and credit card statement reconciliations. Process and track accounts payable invoices. Maintain records of vendor payments and outstanding accounts payable. Coordinate employee expense reports, receipts, and supporting documentation. Assist with preparation of financial records for year-end reporting and review by the company’s accountant. Maintain clear and organized electronic accounting files. Project Cost-Control Support Support the Project Coordinator and Project Managers with maintaining project budgets and cost-control records. Enter project commitments, invoices, approved changes, and forecast information into project cost reports. Assist with reviewing consultant, contractor, and vendor invoices for completeness and alignment with contracts, purchase orders, and approved budgets. Maintain project invoice trackers and payment logs. Track project expenditures against approved budgets. Identify discrepancies, missing information, or potential budget concerns for review by the Project Coordinator or Project Manager. Support the organization of project financial documentation, including contracts, invoices, change orders, purchase orders, and approvals. Assist with maintaining consistent project cost-control templates and filing practices. General Administrative Support Maintain accurate electronic files and company records. Support document organization, data entry, and administrative coordination. Assist with maintaining company contact, project, and vendor information. Provide occasional administrative support to the Business Manager, Project Coordinator, and broader project management team. Assist with improving administrative, accounting, and cost-control processes as the company continues to grow. Qualifications and Experience Previous experience in bookkeeping, accounting administration, office administration, project administration, or a related position. Experience preparing invoices, reconciling financial accounts, and tracking accounts receivable. Strong working knowledge of Microsoft Excel, including organizing and reviewing financial information. Experience with accounting software including QuickBooks. Familiarity with AI tools and agents, including ChatGPT, is considered an asset. Strong attention to detail and a high level of accuracy. Strong organizational, record-keeping, and document-management skills. Clear written and verbal communication skills. Ability to handle confidential financial and company information with discretion. Ability to work independently while communicating effectively with the Business Manager and project team. Work Arrangement Part-time position. Flexible working hours, subject to coordination with the Business Manager and company requirements. Hybrid working arrangement consisting of a combination of office-based and work-from-home hours. Some in-office availability will be required for collaboration, document coordination, and administrative activities. The position will be based in Vancouver, British Columbia. Reporting and Working Relationships The Administrative & Accounting Assistant will: Report directly to the Business Manager. Work closely with the Project Coordinator on project cost-control and budget-tracking activities. Coordinate with Project Managers regarding project invoices, budgets, and supporting documentation.
