The Position We are seeking an energetic & enthusiastic Business Operations Assistant to join our innovative team. This hands-on role will support the Business Operations team with coordinating employee events & activities, while also handling a broad range of office supply & support tasks. This is a part-time role with a regular schedule of twenty (20) hours per week as per the following schedule: * Mon-Thurs: 10:00am-2:00pm * Fridays 1:00pm-5:00pm* * Some flexibility may be possible with the core Mon-Thurs schedule, but the Friday hours are a requirement for specific recurring events/activities. Our scope of services includes a full suite of R&D programs including antibody discovery, epitope mapping, kinetic analysis, and glycan profiling. Responsibilities The following list represents a sampling of the range/diversity of tasks that this person will be asked to support, though every day will have a different set of priorities: People / Culture * Assist with employee onboarding as needed. * Maintain swag inventory tracking sheets. * Assist with the planning and organizing of biweekly company socials, regularly scheduled events, as well as the year-end party. * Organize and manage employee appreciation initiatives. Office / Kitchen Organization * Manage the inventory of office supplies and the maintenance of office equipment; maintain office and kitchen areas for cleanliness and safety. * Plan and organize company lunches, order snacks & beverages from various vendors as needed. Shipping / Logistics * Assist with inbound & outbound shipping processes via FedEx. * Liaise with shipping companies and customs brokerage teams as needed to get packages to our lab. * Assist with checking in lab samples upon arrival, labeling and documenting as required. Facilities * Assist with general assembly of equipment and handyperson duties. * Liaise with contractors, service technicians and trades as needed. General Office Administration * Assist with daily operational needs of the company. * Act as one of the first points of contact for onsite visitors. * Ensure storage areas are kept well-organized and safe. * Help with the preparation of materials for all-hands meetings. * Filing and safe-keeping of documents / receipts for monthly bookkeeping. Requirements * 1+ year working experience in an operations or administrative role is preferred, but not required. * Highly organized, excellent attention to detail and ability to follow-through on multiple responsibilities * Proven ability to handle multiple projects simultaneously, adapt and be flexible with changing deadlines and priorities * Excellent verbal & written communication skills * Proven ability to work independently and in a team environment * Strong computer skills with standard business applications, such as Word, Excel, PowerPoint, Slack, Trello, and Google G-Suite. * General facilities knowledge and/or experience is an asset * A valid driver’s license and access to vehicle is an asset * Excited about entrepreneurial, dynamic environment where no two days are the same Do you possess some or all of these qualities?
