We are looking for an energetic, dependable, and organized Office Assistant / All-Rounder to support day-to-day operations and core financial recordkeeping at our Kingston office. Role Overview In this role, you will be the administrative backbone of our local facility. You will handle a dynamic mix of general office management, light bookkeeping, clerical coordination, and day-to-day operational support to keep our engineering and management teams running smoothly. Key Responsibilities Bookkeeping & Accounting Support: Enter and track accounts payable (AP) and accounts receivable (AR). Reconcile receipts, credit card statements, and vendor invoices using accounting software (QuickBooks). Assist with monthly expense categorization and prepare documentation for external accountants. Office Administration & Facility Support: Manage incoming/outgoing mail, courier packages, and deliveries at our Norris Court facility. Monitor and restock office, kitchen, and administrative supplies. Maintain digital filing systems, documentation, and operational records. Coordination & General Support: Answer phone inquiries and direct messages to appropriate team members. Assist management with scheduling, meeting preparation, and basic travel logistics if needed. Help with ad-hoc operational tasks, errands, and special projects as they arise. Qualifications & Skills Experience: 1–3 years of experience in office administration, clerical support, or general bookkeeping. Financial Software: Working knowledge of QuickBooks Online, Xero, or similar bookkeeping tools. Technical Proficiency: Strong computer skills, including Microsoft Office (Excel, Word, Outlook) or Google Workspace. Communication: Clear verbal and written English communication skills. Attributes: Self-starter attitude, strong attention to detail, high reliability, and the ability to multitask in an evolving work environment.
