Job Summary
Vivacity Technologies is seeking a highly organized, proactive, and strategic Executive Assistant (EA) to provide comprehensive administrative and operational support to our Founder and CEO, . As a trusted partner in a fast-growing SaaS and IT consulting environment, you will manage day-to-day administrative tasks, optimize workflows, support strategic initiatives and act as a critical bridge between executive leadership, internal teams, and public sector stakeholders. This hybrid role offers the flexibility of splitting time between remote work and our Kamloops office, alongside a consistent 25-hour work week (total weekly hours are negotiable) and a comprehensive benefits package.
Key Responsibilities
Calendar & Schedule Management
- Manage and optimize the CEO?s complex, rapidly changing daily/weekly calendar.
- Proactively align the CEO?s weekly schedule with core business priorities (Sales, Strategy, Team Growth), ensuring dedicated Deep Work time is carved out and fiercely protected.
- Coordinate internal and external meetings, product demos, and stakeholder sessions.
- Prioritize and gatekeep incoming meeting requests to protect the CEO?s time.
Communication & Stakeholder Liaison
- Act as a primary point of contact between the CEO, public body clients, and First Nations partners.
- Draft, review, and polish professional correspondence, technical briefs, and executive emails.
- Screen and route incoming calls, general inquiries, and public sector information requests.
Operations & Project Support
- Track key project action items and deliverables across the product development and consulting teams.
- Compile background research and data summaries for upcoming municipal government contract proposals.
- Support in the preparation of high-impact presentations and pitch decks for client meetings and product showcases.
- Take ownership of the corporate Document Management ecosystem, optimizing folder structures, access permissions, and document retention.
- Assist the CEO in documenting standard operating procedures (SOPs) and drafting internal company policies as the team scales.
General Administration & Financial Coordination
- Process executive expense reports and log financial operational receipts accurately.
- Organize travel arrangements, building detailed itineraries and booking transport or lodging.
- Coordinate team events, local workshops, and executive agendas.
Qualifications & Skills
Required Experience
- Ideally, 3+ years of experience as an Executive Assistant, Administrative Assistant, or Project Coordinator supporting C-suite executives.
- Background or familiarity working with public sector clients is a significant asset.
Technical & Core Skills
- Proficiency in modern workspace tools including Google Workspace, Microsoft Office 365, and project management software.
- Exceptional organization capabilities with a proven ability to manage multiple high-priority timelines.
- Flawless written and verbal communication tailored for government and enterprise-level stakeholders.

Work Structure and Compensation
- Hybrid Schedule: Split time productively between working from home and collaborating on-site at our Kamloops office location.
- Compensation: The proposed pay range is $28.00 to $33.00 per hour.
- Hours: Negotiable 25 hours per week to start. For the right candidate, there is a clear opportunity for this role to expand in scope and hours (potentially moving to full-time) as Vivacity achieves its growth milestones.
