About the role

Office Operations & Facilities Coordinator Location: 25 York Street, 24th/25th Floor, Toronto, ON Hours: 2:30 PM–6:30 PM We are seeking a proactive, hands-on, and service-oriented professional to support daily office operations and maintain a clean, organized, safe, and welcoming workplace. Responsibilities Maintain kitchens, pantry areas, meeting rooms, storage areas, and common spaces. Replenish snacks, beverages, coffee, consumables, dishes, utensils, and kitchen supplies. Monitor coffee machines and water systems and escalate issues as needed. Track inventory, stock levels, and items requiring reorder. Greet employees, visitors, and vendors and provide a professional visitor experience. Support visitor access procedures and prepare visitor workspaces when required. Assist with access badge distribution and tracking. Conduct regular walkthroughs and report maintenance, safety, security, or cleanliness concerns. Coordinate with building management, cleaning staff, vendors, and couriers. Receive, sort, and distribute mail and packages. Arrange courier services as required. Support office organization, seating updates, meeting room setup, and workplace needs. Assist with meeting and event setup, catering readiness, stocking, and cleanup. Participate in emergency procedures and related training, including fire warden or first aid responsibilities. Provide general operational support and complete ad hoc duties as required. Qualifications Strong attention to detail and organizational skills. Proactive and able to work independently. Strong customer service, interpersonal, and verbal communication skills. Reliable, consistent, professional, discreet, and service-oriented.
