The Role Our CEO operates at the intersection of fast-paced growth and high-stakes innovation, overseeing a dynamic portfolio of financial companies that includes a FinTech business, an Exempt Market Dealer (EMD), a Mortgage Investment Corporation (MIC), and a Mortgage Administration firm. To continue scaling these diverse entities, he needs a strategic, high-caliber right hand to orchestrate daily operations and keep the machinery running flawlessly. This is not a traditional Executive Assistant role. You will serve as the central nervous system across multiple corporate entities—managing complex calendars, handling sensitive financial matters, and acting as the gatekeeper for an executive who moves fast, embraces technology, and demands excellence. 🕒 Schedule & Location Type: Part-Time / Hybrid Days: 3 days a week (Monday, Tuesday, and Friday) Hours: 11:00 AM to 5:30 PM Location: In-office in Vaughan, ON What You'll Do📅 Calendar & Meeting Management Multi-Entity Scheduling: Seamlessly orchestrate complex calendars across multiple companies, balancing competing priorities and time zones. End-to-End Briefings: Coordinate client, internal, and regulatory meetings; prepare comprehensive agendas, briefing materials, and track actionable next steps. Logistics Mastery: Manage travel arrangements and swiftly resolve last-minute scheduling conflicts. 💬 Communications & Liaison Gatekeeping: Screen and prioritize high-volume incoming emails, Slack messages, calls, and correspondence to maximize the CEO’s time. Executive Voice: Draft sophisticated memos, emails, and corporate correspondence on the CEO’s behalf. Stakeholder Relations: Serve as a trusted, professional liaison between the CEO and internal development/operations teams, high-net-worth clients, and external partners. ⚙️ Operations & Project Coordination Project Tracking: Drive special projects across the corporate group, tracking deliverables, deadlines, and accountability. Executive Reporting: Prepare high-level presentations, pitch decks, reports, and critical materials for Board meetings. Compliance & Audit Support: Maintain flawless digital filing systems and collaborate with Quality Control and compliance teams to ensure documentation is audit-ready across all financial and tech entities. 💼 Business Support Financial Admin: Process executive expense reports, invoices, and corporate documentation. External Advisory Point: Coordinate smoothly with legal counsel, accountants, and external financial/technical advisors. Vendor Management: Oversee vendor relationships, software-as-a-service (SaaS) agreements, and contracts. Who You AreYou are a perfect fit if: Proven Track Record: You have 2+ years of experience as an EA supporting C-suite executives within professional services (Financial Services, FinTech, Legal, or Consulting preferred). Financial & Tech Literacy: You speak the language of finance, understand the fundamentals of investments and mortgages, and are comfortable navigating modern software and technology environments. Ironclad Discretion: You have an impeccable track record of handling highly confidential information (compensation, client portfolios, proprietary data, regulatory matters). Hyper-Organized: You are obsessively detail-oriented; nothing slips through the cracks, even when juggling competing, urgent priorities across different industries. Tech-Savvy: You are highly proficient with MS Office, Google Workspace, DocuSign, Zoom, and modern project management/communication tools (e.g., Slack, Asana, Monday.com). Commute-Ready: You are able to reliably work from the Vaughan office on Mondays, Tuesdays, and Fridays. Proactive & Calming: You don't wait for instructions—you see a gap and fill it. You remain completely unshakeable under pressure. Nice-to-Haves: Direct experience in wealth management, FinTech, banking, or mortgage lending. Familiarity with regulatory compliance filings (EMD, MIC, or digital financial regulations are a massive asset). Experience supporting an entrepreneur or executive managing multiple simultaneous businesses. This Role Is NOT for You If: You require step-by-step instructions or hand-holding to complete tasks.
