SUMMARY:

Reports to the Principal and works under the direction of the Administrative Assistant - Elementary School. Performs a variety of clerical services to ensure the timely resolution of the school office requirements. The duties assigned will vary for each position based on individual school needs.

DUTIES:

  1. Keyboards/types, proofreads, duplicates, photocopies, collates and files a variety of correspondence, reports, forms and materials.

  2. Responds to a wide variety of external/internal inquiries, both by telephone and in person; screens visitors to the school; receives, sorts and distributes mail.

  3. Assists in tracking student absentees/attendance; enters data into computerized attendance program system to produce records and reports.

  4. Assists with student registrations; maintains student records and files; processes cross boundary/out of district request forms; assists in maintaining up-to-date enrolment figures and reports; monitors Board Office and Ministry enrolment reports.

  5. May perform purchasing duties; maintains inventory of supplies; receives, checks and verifies orders; prepares required documentation; maintains purchasing records and verifies monthly Budget statement.

  6. Performs or assists with a variety of clerical duties such as: enters data into computerized system to produce reports, counts cash, issues receipts, makes bank deposits, arranges field trips, bus transportation, and special events, arranges parent teacher interview schedules and maintains maintenance requisition and work order files.

  7. Assists with monitoring student safe arrival program and may administer minor first aid.

  8. Remains current with changing technology, practices and equipment.

  9. Performs other related duties as assigned.

QUALIFICATIONS:

  1. Successful completion of a secondary school graduation program or equivalent. Completion of post secondary secretarial or office procedures course equivalent to 6 months.

  2. Minimum of 1 year recent relevant and related clerical experience or equivalent combination of education and experience. Experience in word processing, data base and spreadsheet applications and the use of computers.

  3. Experience in the use of student attendance programs an asset.

  4. Good interpersonal, communication and organizational skills. Ability to use judgement and tact when providing information.

  5. Ability to work independently.

  6. Ability to use a wide variety of office machinery/equipment.

  7. Basic accounting ability an asset.

  8. Ability to handle a wide variety of clerical tasks while handling frequent interruptions.

  9. Knowledge of basic first aid treatment.

  10. Physical ability to perform the duties required.

  11. Knowledge of WorkSafe BC and WHMIS regulations. Safe work habits.

  12. Some positions may require the knowledge of a language other than English.
