About the role
Westmont Montessori School is currently seeking a part-time administrative assistant. The hours of work will be 8:30am to 1:00pm Monday through Friday. The assistant promotes the Westmont philosophy through positive interactions with staff, students, parents and prospective families.
Suitable candidates must possess a friendly, nurturing, yet professional demeanour, as they will be the first point of contact for the school. All applicants must have experience with completing reception and general office duties, be open to assisting with all aspects of daily operations with courtesy, patience and excellent communication. Ability to exercise discretion and maintain confidentiality.
It is highly desired that the successful applicant has had previous administration experience preferably in an independent or public school.
Additionally, the successful applicant must be highly organized with an excellent attention to detail, understand priorities and complete work efficiently in a timely manner to meet deadlines.
Westmont Montessori School is a highly regarded independent Montessori school in Victoria BC, Canada offering education from preschool through grade twelve. Qualifications
- A minimum of 5 years administrative job experience preferably in a similar office/reception environment
- Working knowledge of Microsoft Office programs
- Exceptional communication and interpersonal skills
- Willingness to work in a team-oriented environment.
- Commitment to on-going professional growth
- Current Vulnerable Sector Police Record Check
- Current First Aid Certificate, CPR and AED
Duties
Respond to telephone, email and counter inquiries from students, staff, parents, community, provide information, direct visitors, take and track student attendance, take messages and refer accordingly. Assisting students who are ill, administering medication and cleaning health room. Maintaining First Aid classroom kits and medical cabinet.
Coordinate the online school newsletter items weekly.
Book teachers on call, update daily online whiteboard, daily daycare postings and activity lists. Assist with ordering school supplies, office supplies, pick up and deliver mail.
Schedule and coordinate photo days, immunizations, field trips and bus transportation.
Assist with additional administrative tasks as assigned.
