Job Description
Toast is recruiting on behalf of a non-profit professional association serving in-house lawyers across the legal industry. The organization is funded through member dues and law firm sponsorships, and uses those resources to deliver programming, continuing education, and social events for its community. This is an hourly independent contractor position, approximately 20 hours per week, supporting the organization's Board of Directors as both administrator and community manager. The role suits someone who thrives in a self-directed environment, balancing creative event planning with polished, professional interactions with Board members, sponsors, and member firms.
Responsibilities
Administrative
Support Board members including the President, Vice President, Secretary, Treasurer, and Committee Chairs Respond promptly to Board requests and adjust workflow to support shifting priorities Act as liaison between the Board, the global organization, and chapter members Manage day to day internal and external communications Schedule and support committee meetings, track progress, distribute materials, and maintain notes Manage calendars for events, Board meetings, programming, and sponsorship activities Coordinate meeting logistics including room bookings, catering, and virtual setup Maintain accurate member and nonmember rosters through research and outreach Update records across spreadsheets and email or marketing platforms
Event Management
Plan, coordinate, and attend programming and social events whenever feasible Collaborate with the Program Chair, committee members, and sponsors on topics, content, and speakers Create registration pages, invitations, save the dates, website content, and LinkedIn posts Manage event reminders and communications Support venue coordination, contracts, catering, dietary tracking, A/V, room setup, name tags, giveaways, and registration logistics Prepare and distribute program materials on time Respond to registration inquiries and resolve issues Conduct post event follow up including attendance tracking, materials distribution, surveys, and sponsor follow up Maintain accurate records of CLE programs, logistics, attendance, and statistics
Community Membership
Support retention and recruitment with the Membership Committee and global organization Identify membership growth opportunities with the Board Invite prospective members to programs and identify engagement opportunities Help design and distribute communications for members and prospects Send welcome letters, renewal notices, and outreach messages
Marketing and Promotion
Manage social media and marketing, including maintaining the chapter website Keep events, news, and materials current and relevant Maintain an active presence on LinkedIn and other platforms Develop and distribute promotional materials for membership drives and initiatives
Sponsorship
Maintain and strengthen relationships with sponsors Support sponsor procurement with the Committee Chair and Board Create and update sponsorship materials annually or as needed Respond to sponsorship inquiries and distribute materials Ensure sponsor commitments are fulfilled, including website presence, logos, programming materials, LinkedIn content, and newsletter contributions Support committee restructuring and onboarding new members
Organizational Support
Work with the President and Board on organizational improvement and strategic planning Attend bi weekly meetings with the global organization and other chapter directors Attend the Annual Meeting and administrator training when possible
Requirements
Strong organizational and project management skills with high attention to detail Self directed and comfortable managing competing priorities independently Confident, polished communicator able to represent the organization to Board Directors and sponsors Experience with event planning and coordination, including vendor and venue management Comfortable with proactive outreach, including cold calling and relationship building Working knowledge of social media management, particularly LinkedIn Experience maintaining databases, spreadsheets, and marketing platforms Strong written communication skills for newsletters, invitations, and promotional content Ability to work flexible hours to support events and Board availability Experience in nonprofit, association, or membership organization environments is an asset
Benefits
This contract role pays 35 to 40 dollars per hour for approximately 20 hours per week, with expenses covered for event related costs. The position offers the flexibility of contractor status while providing meaningful, ongoing work with a recognizable professional community. The successful candidate will play a direct role in sustaining a network that supports in-house counsel through education, mentorship, and connection, with visible impact reflected in event turnout, membership growth, and sponsor retention each year.
