As our organization grows and expand its healthcare services, we are seeking a highly organized, compassionate, and proactive Administrative Assistant to join our team.

Position Summary

The Administrative Assistant plays an integral role in supporting the day-to-day operations of our busy healthcare clinic. Working alongside our existing Administrative Assistant and clinical team, you will serve as one of the first points of contact for clients while helping coordinate appointments, maintain administrative workflows, support healthcare providers, and ensure the clinic operates efficiently each day. This position requires someone who is highly organized, adaptable, and capable of balancing multiple priorities while maintaining exceptional professionalism, discretion, and compassion. We're looking for someone who enjoys problem-solving, takes initiative, communicates confidently, and genuinely cares about providing an outstanding experience for every client who contacts our clinic.

Key Responsibilities

Client Care & Customer Service

Welcome clients in person, by telephone, and electronically in a warm, professional, and compassionate manner. Serve as one of the primary points of contact for client inquiries. Schedule, reschedule, and confirm appointments while ensuring an exceptional client experience. Assist prospective clients through the intake and onboarding process. Respond to client questions accurately and professionally while maintaining strict confidentiality. Navigate challenging or emotionally sensitive conversations with empathy, professionalism, and sound judgment. De-escalate concerns and resolve client issues in a respectful, solution-focused manner. Represent AMMA Midwives with professionalism in every client interaction. Appointment Scheduling & Clinic Coordination

Coordinate appointments for multiple healthcare providers. Maintain accurate provider schedules while responding effectively to changing clinic priorities. Manage appointment confirmations, cancellations, waitlists, and scheduling adjustments. Support client booking workflows from initial inquiry through ongoing care. Monitor scheduling gaps and proactively optimize clinic efficiency. Assist with provider calendars and daily clinic coordination. Healthcare Administration

Answer and manage incoming telephone calls. Monitor and respond to voicemail messages in a timely manner. Process incoming and outgoing faxes. Scan, upload, and organize medical documentation within electronic medical records (EMRs). Maintain accurate client records and administrative documentation. Assist with referrals, requisitions, correspondence, and general clinical administrative tasks. Support day-to-day office administration while maintaining confidentiality and accuracy. Perform data entry and administrative reporting as required. Clinic Operations

Maintain organized reception and administrative workspaces. Ensure examination rooms and clinic supplies remain appropriately stocked. Support quality improvement initiatives and administrative process development. Assist with routine operational projects and clinic administration. Identify opportunities to improve clinic efficiency and enhance the client experience. Adapt quickly to changing priorities within a busy healthcare environment. Contribute to a positive, collaborative, and supportive workplace culture.

Qualifications

Required Experience

Minimum 2 years of administrative experience in a healthcare setting. Post-secondary education in Medical or Business Administration, Health Management, or a related field (or equivalent experience). Experience scheduling appointments within a busy medical or healthcare environment. Exceptional customer service and interpersonal skills. Excellent verbal and written communication abilities. Strong organizational, time management, and multitasking skills. High level of professionalism, discretion, and attention to detail. Ability to prioritize competing responsibilities while working independently. Strong computer proficiency and ability to quickly learn healthcare software. Comfortable working in a fast-paced environment with frequent interruptions.

Preferred Experience Preference will be given to candidates with experience working in one or more of the following settings: midwifery practice; family medicine clinic; walk-in clinic; fertility clinic; or a diagnostic imaging or ultrasound clinic. Experience using Electronic Medical Records (EMRs), appointment scheduling systems, and healthcare administrative software is considered a strong asset.
